01

IT that keeps the chairs running

In a dental clinic, downtime means cancelled patients. When the front desk cannot open the schedule, when an operatory PC will not load charts, or when an X-ray sensor stops talking to its workstation, the whole day backs up. Hygienists wait, patients wait, and appointments get rebooked.

Insix gives clinics local, fast support. Our team is based in Markham and works with practices across Toronto and the GTA. We get to know how your clinic is laid out, which machines matter most, and who to call at your software and equipment vendors, so problems are solved with the least disruption to the patient day.

We also look ahead. Regular updates, checked backups and sensible hardware planning reduce the number of surprises in the first place.

02

What we support in dental clinics

A modern clinic runs on more technology than most offices its size. We look after the full picture, from the reception desk to the operatories.

  • Practice management software

Keeping the workstations and server your practice software depends on healthy, and working with your software vendor when issues come up.

  • Digital X-ray and imaging

Imaging workstations and sensors, drivers, connections and the computers they rely on.

  • Intraoral cameras

Setup and troubleshooting so images reach the right chart.

  • Front-desk and operatory PCs

Reliable, updated computers at reception and in every operatory.

  • Networks and Wi-Fi

A clinic network that keeps clinical systems, staff devices and guest Wi-Fi properly separated.

  • Printers and scanners

Insurance forms, treatment plans and scanned documents that print and scan when you need them.

  • Backups of patient data

Regular, monitored backups of your practice data, with restores tested.

  • Email security

Filtering and protection against phishing and malicious attachments.

03

Protecting patient information

Dental clinics in Ontario hold personal health information and have obligations under Ontario's Personal Health Information Protection Act (PHIPA). Technology is only part of meeting those obligations, but it is an important part.

Our approach is practical and explained in plain terms. We set up secure backups to help recover patient data if a computer fails or ransomware strikes. We put access controls in place so staff only reach what they need, and accounts are removed when people leave. We keep systems updated to address known security holes. And we add email protection, because a convincing message or malicious attachment can put a small office at risk.

These measures help clinics meet their obligations under PHIPA. Your clinic remains responsible for its own privacy policies and practices, and we work with you and your advisors to support them.

04

New clinics, moves and expansions

Opening a new clinic, relocating, or adding operatories is the best time to get the technology right. We plan and set up network cabling, network equipment and Wi-Fi so every room has what it needs from day one.

When you add operatories, we prepare the computers, connections and imaging setup for the new rooms. Throughout the project we coordinate with your equipment and software vendors, so the installer, the software company and the IT team are working from the same plan instead of pointing at each other.

Before a move, it helps to map out which rooms need wired connections, where imaging equipment will sit and when each vendor needs access. Make time to check that reception can open the schedule, clinical staff can reach patient records and images, and printers work from the right computers. A clear checklist gives the clinic and its vendors a shared view of what is ready and what still needs attention.

05

Where AI fits in a dental clinic

Clinics are asking about AI, usually because a software vendor has added an AI feature or because staff are already using chat tools on their phones. There are useful applications and there are real privacy risks. The useful part is mostly administrative, at the front desk and in the back office, not in the clinical decision.

Insix helps clinics choose business-grade tools, keep patient information inside systems the clinic has agreements for, set up accounts and devices properly, and write a short acceptable-use policy that staff will actually follow.

  • Front-desk communication

Drafting recall messages, appointment confirmations and replies to routine enquiries for staff to review before they are sent.

  • Insurance and paperwork

Summarizing benefit statements and preparing predetermination letters and claim follow-ups from the information staff provide.

  • Clinical note summaries

Some practice and dictation tools now offer AI-assisted notes. These touch patient records and should only be used through a vendor with a signed agreement covering personal health information.

  • Policies and training

Turning your existing procedures into clear staff handbooks, checklists and onboarding material.

  • Reviews and website

Drafting responses to patient reviews and keeping the clinic's website and frequently asked questions current.

  • What not to do

Pasting patient names, charts or images into a free personal AI account. Under PHIPA, the clinic remains responsible for where that information goes.
